Program Assistant

The Programme Assistant is responsible for implementing the organizational programme policies and procedures in the UNFPA Country Office (CO) in Egypt. You will deliver quality services in adherence to relevant policies and standards established by the HQs and apply programme-related guidelines, processes and procedures to the UNFPA CO activities.

You will report directly to the Assistant Representative.

Job Purpose:

In the UNFPA country office in Egypt and in the context of the implementation of the 10th Country Programme, you will play a vital role in providing programme, administrative and financial support to the RH/FP programme and technical team in the UNFPA Egypt Country Office as well as to national counterparts. You will provide quality support to ensure accurate and reliable programme, administrative and financial data and information are available and reported in a timely manner with required quality checks, in line with UNFPA guidelines and procedures.

You will build close relationships with CO programme and operations teams, Regional and HQs-based Programme Specialists, national counterparts, implementing partners as well as the UN agencies for efficient and effective delivery of quality programme support services.

You would be responsible for:

 

  1. Programme implementation support
  • Undertake logistical, administrative and financial arrangements required for the organization of technical workshops, inter-agency meetings, panel discussions, roundtables, missions, and other events organized by the programme and technical team;
  • Assist the RH/FP programme team in coordinating the UNFPA technical coordination groups;
  • Support the coordination with field offices through the provision of administrative and logistical support;
  • Review incoming correspondence, collect and prepare necessary information for reply/action, and draft and finalize response;
  • Prepare first drafts of responses to inquiries received by the RH/FP programme and technical team for action by supervising officers;
  • Prepare travel authorizations and coordinate with the operations team on travel arrangements;

 

  1. Programme information management
  • Contribute to maintaining the office filing system and assist in archiving;
  • Maintain and update country, partners and project files, including project progress reports, work plans and budgets in compliance with guidelines for the regional programme;
  • Manage the minutes and action points from RH Team meetings;
  • Organize, compile and process information from donors, Regional Offices, programme countries, and country offices, as inputs to various databases and documents

 

  1. Programme financial support
  • Prepare requisition request in ATLAS with input from the RH/FP programme and technical team members; utilize Atlas to produce monthly reports on the financial status of programmes or projects; create vouchers and payments in Atlas, as needed;
  • Apply UNFPA rules, regulations and procedures:
  • Assemble briefing materials and prepare power-point and other presentations for the RH team in the CO;

Any other duties as assigned by the Representtive and/or RH/FP Specialist

Qualifications and Experience

Education:

Completion of secondary school with additional course work/Certificate in public administration, finance or economics.

Knowledge and Experience: 

  • 5 years previous relevant experience in programme/project management
  • Previous experience in the UN is an asset;
  • Strong interpersonal and organizational skills;
  • Computer literacy – Word, Excel, Power-point, etc.;
  • Good writing and communication skills.
  • Demonstrated ability to work in a team environment

Languages:

Fluency in English and Arabic are required.
